What we collect, why we need it, who sees it, and how long we keep it.
ELDOVISA LLC respects your privacy. Preparing a visa application requires unusually sensitive information — passport data, travel history, sometimes financial records — so this policy explains exactly what we collect, why, who sees it, and how long we keep it.
1. Who controls your data
ELDOVISA LLC (registration no. 981933659, registered office 8206 Louisiana Blvd NE, Suite A, Albuquerque, NM 87113, USA) is the data controller for personal information collected through this website and in the course of providing our services. Contact us about privacy at info@eldovisa.my.
2. What we collect
2.1 Information you give us
- Identity data: full name, date and place of birth, gender, nationality, passport number, issue and expiry dates, and a passport photograph.
- Contact data: email address, telephone or WhatsApp number, postal and residential address.
- Travel data: destination, dates, purpose of travel, itinerary, accommodation details and travel history.
- Application data: employment or study details, invitation letters, previous visa or refusal history, and any other document a specific authority requires.
- Financial data: bank statements or proof-of-funds documents where an authority requires them. Card payments are handled by our payment provider — we do not receive or store your full card number, expiry date or security code.
- Correspondence: the content of your messages to us across email, WhatsApp, telephone and the website form.
2.2 Information collected automatically
When you visit this website we may collect your IP address, browser type, device type, referring page and the pages you view, for security and to understand aggregate traffic. This site does not run advertising trackers or sell visitor data.
3. Why we use it
- To assess your eligibility and prepare, review and submit your application.
- To communicate with you about your case and respond to enquiries.
- To arrange bookings with airlines, hotels, transport providers and tour operators on your instruction.
- To issue quotations and invoices, take payment and keep accounting records.
- To comply with legal obligations, including tax, anti-money-laundering and sanctions screening.
- To detect and prevent fraud, and to protect the security of our systems.
- To improve our services, using aggregated information that does not identify you.
We do not sell your personal data, and we do not share it with third parties for their own marketing purposes. We will only send you marketing communications if you have asked to receive them, and every such message contains an unsubscribe link.
4. Lawful basis
- Performance of a contract — processing necessary to deliver the service you purchased.
- Legal obligation — retention of financial records, sanctions and anti-money-laundering checks.
- Legitimate interests — fraud prevention, network security and service improvement, where these do not override your rights.
- Consent — optional marketing, and processing of special-category data where required. You may withdraw consent at any time.
Some application data may constitute special-category or sensitive personal data under applicable law. Where that is the case we process it only with your explicit consent, or where necessary to establish or exercise a legal claim.
5. Who we share it with
We disclose your information only to the following categories of recipient, and only to the extent necessary:
- Government authorities — the immigration authority, embassy, consulate or official application portal to which your application is submitted. This is the core purpose of the service.
- Travel suppliers — airlines, hotels, transport operators, tour operators and insurers, limited to the details needed to fulfil the specific booking you requested.
- Service providers — our payment processor, email and hosting providers, and accounting software, each bound by contract to protect your data and to use it only on our instructions.
- Professional advisers — lawyers, auditors and insurers, where necessary.
- Authorities — where we are required by law to disclose, or where disclosure is necessary to establish, exercise or defend legal claims.
We do not disclose your data to anyone else without your instruction.
6. International transfers
Providing our services necessarily involves transferring your data across borders — an application to a foreign authority cannot work otherwise. Some of our service providers are also located outside your country of residence. Where we transfer personal data internationally we take reasonable steps to ensure an appropriate level of protection, including using providers who offer contractual data-protection commitments.
7. How long we keep it
- Application files: retained for 24 months after your case closes, so that we can assist with a renewal, a reapplication or a query about a previous submission.
- Financial records: retained for 7 years, or the period required by applicable tax law, whichever is longer.
- Correspondence: retained for 24 months after the last contact.
- Marketing consent records: retained until you withdraw consent, plus 12 months.
When a retention period ends, data is deleted or irreversibly anonymised. You may request earlier deletion — see section 9.
8. Security
We apply technical and organisational measures appropriate to the sensitivity of the data we hold, including encryption of data in transit (TLS across this website), access restricted to staff who need it for your case, secured document storage, and periodic review of our providers.
Please do not send passport scans, bank statements or payment details through the public website form or over unencrypted channels. Once your case is open we will tell you how to submit documents securely. No method of transmission over the internet is perfectly secure; if a breach affecting your rights occurs, we will notify you and the relevant authority where required by law.
9. Your rights
Subject to applicable law, you have the right to:
- request a copy of the personal data we hold about you;
- have inaccurate data corrected;
- request deletion, where we have no continuing legal or contractual reason to retain it;
- restrict or object to certain processing;
- receive your data in a portable, machine-readable format;
- withdraw consent at any time, without affecting processing already carried out;
- lodge a complaint with the data protection authority in your country of residence.
To exercise any of these, email info@eldovisa.my. We respond within 30 calendar days and will verify your identity before releasing information. There is no charge for a reasonable request.
Note that we cannot recall data already submitted to a government authority — that data is then held by the authority under its own rules, and you would need to approach it directly.
10. Cookies
This website uses only cookies and equivalent storage that are strictly necessary for the site to function and remain secure. We do not use advertising cookies, cross-site tracking pixels, or third-party profiling. If we introduce analytics or marketing cookies in future, we will request your consent first and update this policy.
Fonts on this site are loaded from Google Fonts, which may record your IP address as part of serving the request. If you prefer to avoid this, most browsers allow you to block third-party requests.
11. Children
Our services are not directed at children. Where an application is made on behalf of a minor, we process the minor's data only on the instruction of a parent or legal guardian, who is responsible for the accuracy of the information supplied.
12. Changes to this policy
We may update this policy to reflect changes in our practices or in the law. Material changes are published on this page with a revised “last updated” date, and where the change materially affects your rights we will notify you directly.
